Kitchen monitor

Introduction

In many kitchens, classic receipt printing is used for coordination and is firmly anchored in everyday kitchen life. However, this can quickly become confusing and if a receipt disappears or is soiled, this can often lead to problems and have a lasting effect on the quality of your service. As most kitchens are also fast-paced and hectic, it is easy to lose track of things or focus on the wrong things.

That's why it's a key point in an efficient kitchen to keep all orders in order and to map all ongoing processes clearly so that everyone knows exactly what needs to be done at all times: What still needs to be produced? What is already ready? What can be delivered? Are there any pre-orders for a later period? What does the recipe stock look like?

All these functions are bundled into one tool in Gastronovi Office - the kitchen monitor.

The kitchen monitor works in conjunction with the modules, mainly of course the cash register and the ordering system. It displays all recipes to be produced, produced recipes and open pre-orders at a glance. In addition, recipe stocks and detailed information on individual recipes can be called up at any time. Furthermore, a clear list is provided of which recipes belong to an order and a time display shows how long ago the order was placed.

This results in complete monitoring of all processes, which helps you to manage all upcoming tasks more efficiently and automatically.

The different views

The kitchen monitor offers three basic modes with different levels. On the one hand, there is the production view for the kitchen, which is divided into Acceptance, Production and Production + (Plus), and on the other hand the delivery view for the service, which is divided into Delivery and Delivery + (Plus). There is also the combined view, which combines both modes. Set up the kitchen monitor so that it fits perfectly into your business, depending on the number of appliances used and work processes.

The different views are listed and explained in more detail below:

View: Accept

This view provides you with an overview of all recipe items that have the status Ordered. The processes and items are sorted by order received.

View: Production

This view provides you with an overview of all recipe items that have the status Accepted and can be produced. The operations and items are sorted by order received.

View: Production + (Plus)

This view provides you with an overview of all recipe items that have the status Ordered andAccepted and can be produced. The operations and items are sorted by order received.

View: Delivery

This view provides you with an overview of all recipe items that have the status Produced and can be delivered. The processes and items are sorted by order received. (This view can function as a kind of link between service and kitchen, for example, and can run on an optional additional device that can be viewed by the service staff. So that the service staff can monitor and manage processes and items)

View: Delivery + (Plus)

This view combines all processes and items, regardless of their current status, in one large overview.

View: Archive

This view shows all closed transactions that already have the status delivered.

Advanced settings

In addition to the general settings that affect the functionality of the Kitchen Monitor, you can also make settings that extend or limit the functionality of various views. The Production + and Delivery + views in particular are the focus here and are supplemented by two settings:

Ensure process sequence

You can limit access to items of a different status so as not to disrupt your workflows and processes:

Set status explicitly

You can add buttons to the processes to make it easier to change individual items to the different statuses:

Extended view: Comprehensive & Comprehensive + (Plus)

You can use the overarching view so that all constraints are displayed on the current kitchen monitor - including the constraint recipes that are forwarded to other kitchen monitors. This can be helpful when using as a pass monitor, for example.

You can use the comprehensive Plus view to display all recipes in the process on the current kitchen monitor, regardless of the selected filters or monitored printers. The additionally displayed recipes are shown in gray.

The Overarching Plus view also contains all the functions of the Overarching view.

Color status of positions & reference time

Find out more about the different statuses, colors and the reference time in the kitchen monitor so that you can find your way around as quickly as possible and prioritize processes better.

Status of the individual items

Each item in the Kitchen Monitor has a status, which is indicated by a color. The individual colors allow you to see the status of the individual items of the processes/receipts at any time, regardless of which Kitchen Monitor view you are working in - the color coding is also used in the summary and thus helps with quick orientation.

Colors in the kitchen monitor

The standard colors that you will encounter most frequently are blue, yellow and green:

ColorStatusDescription
Blue Acceptance The item has been ordered and is ready for acceptance.
Yellow Production The item has been accepted and is currently in production.
Green Delivery The item has been produced and is awaiting delivery.

There are also two other colors that you will see on the kitchen monitor. These are black and purple.

ColorStatusDescription
Black Archive The item has already been delivered and can only be accessed via the archive.
Purple Active gear control This item is part of a gear control and has been assigned to a higher gear that has not yet been called up - this can be prepared if necessary.

The color status is updated simultaneously for the respective item in the order slip of a process in the cash register, so that the current status can also be viewed via the cash register and more transparency is created between kitchen and service.

These colors cannot be changed individually and are predefined by the system.

Reference time

Each operation/receipt has a designated reference time, which is used to indicate in numerical form the elapsed time in hours and minutes since the operation was sent to the cash register. There is also a colored marker that changes color dynamically as the time elapses. The progression begins with a rich green and slowly changes to the color yellow and then to the signal color red. This means you always have the elapsed time in view and can prioritize individual items differently.

You can adjust the desired reference time in the kitchen monitor settings. Use the average production time of your recipes as a guide, as the reference time always applies to all processes/receipts. For example, if you have selected 30 minutes as the reference time, the progression from green to red will take exactly 30 minutes.

Even if the time span of the reference time can be changed, the colors are predefined by the system.

Out-of-home orders

For the special case of out-of-home orders, which frequently occur in connection with the ordering system (e.g. pick-up or delivery orders), there is a clear red marker at the top which indicates the out-of-home status. In addition, all pre-orders are displayed with the time at which the order must be ready. This marking can be controlled in the settings. It can apply to all out-of-home processes, to individual sub-areas (collection & delivery, collection only or delivery only) or be completely disabled.

Is the production time recorded statistically?

You can display the production time of your recipes in the statistics. This is calculated from the difference between the order receipt and the time of completion

Settings

To be able to make settings and select the printers to be monitored, you must first start the Kitchen Monitor - unlike many other modules and functions, the basic settings can only be configured in the front office and during use.

Starting

What do I need to consider when starting up?

When you start using the Kitchen Monitor, you must decide which printer is to be monitored, i.e. displayed. You can also make the desired settings.

Once you have made and checked all the settings, you can also transfer the settings to the local settings of the respective device. This means that the settings are called up again each time the device is restarted.

Settings

How do I change the settings?

The settings can also be adjusted at any time during operation. Printers to be monitored can also be selected and deselected.

Once you have made and checked all the settings, you can also transfer the settings to the local settings of the respective device. This means that the settings are called up again each time the device is restarted.

How can I change the name of the monitor?

To distinguish between different devices in use, you can change the name displayed at the top of the menu bar.

Grouping

How can I group the recipes in the summary?

The grouping function makes it easier to assign constraints. If grouping is active, all constraint items that are relevant for the monitoring printers are displayed under the corresponding main recipe.

How can I separate identical recipes with different constraints in the display?

Identical recipes with different constraints or deviations can be combined or displayed separately in the kitchen monitor. By default, the recipes are displayed cumulatively.

How do I activate the alarm?

You can activate the alarm to receive a push message or a signal tone when new items are received in the kitchen monitor.

A signal tone can only be emitted if the appliance has loudspeakers.

Notifications about new or changed positions

If the alarm is activated, notifications are displayed in the kitchen monitor in addition to the alarm, informing you of all new activities. New, rebooked and canceled items are displayed visually as push notifications.

These messages disappear again after a few seconds and do not remain permanently. If several different items arrive at the same time, they are displayed one below the other.

A colored marker can be used to distinguish between the different types:

Color Description
Orange The orange messages stand for new positions.
Green The green messages represent rebooked items.
Red The red messages stand for canceled items.

Messages to be confirmed

If the attention for the messages is to be increased, the kitchen monitor can be set up so that the messages remain until they have been confirmed manually. It is important to note that this only applies to rebooked and canceled items, as experience has shown that these generally require more attention than new items. These often require special action and are therefore handled separately.

How can I activate the messages to be confirmed?

They are activated via the kitchen monitor settings.

To activate the function automatically when the kitchen monitor is started, you can transfer the settings made to the local settings.

Alternatively, you can also make the settings manually in the local settings. The "forcealarmconfirmation" command can be set there for the kitchen monitor so that these settings are automatically activated when the kitchen monitor is started.

What do the messages in the kitchen monitor look like?

How do I set up the voice output?

If you want to use the voice output, it must be configured when you start the kitchen monitor. To do this, go to the settings and activate the voice output. You can then select the reading speed and the voice.

Can I activate the voice output automatically?

To activate the voice output automatically when starting the kitchen monitor, you can transfer the settings you have made to the local settings.

Alternatively, you can also make the settings manually:

Example configuration

Let's assume you want to monitor the printer with ID 3305 at every start, activate the alarm and the voice output, including speed (125%) and voice (Marlene). Then enter the following command in the line:

3055,alarm,enabletts,alarm,ttsspeed125,ttsvoiceMarlene,alarmsound2

Once configured, this device now always starts with the settings in the kitchen monitor.

Voice output Voice output Voice output Computer voice Speech Speaking display

What is the output display?

The output display is a practical extension of the kitchen monitor. It can be configured in the settings so that finished items (delivery view) or queue numbers can be displayed on an external device. Depending on the configuration, the corresponding party/table numbers of finished orders or only all finished orders with a queue number are displayed.

The respective device can be played via the network or used as a second screen - it is even possible to use streaming sticks such as Chromecast. The place of use is therefore very flexible and can be adapted to suit your company's requirements. Be it for internal communication or with your guests, for example when they are waiting in line for their order.

How do I set up the output display?

If you want to use the output display, it must be configured when you start the Kitchen Monitor. To do this, go to the settings and make the appropriate settings there. You select the desired connection type and can determine what should be shown on the display.

Can I activate the output display automatically?

To activate the output display automatically when the kitchen monitor is started, you can transfer the settings made above to the local settings.

Alternatively, you can also make the settings manually:

Example configuration

Let's assume you want to monitor the printer with ID 3055 and 3076 at every start, set a relevance time of 4 hours and activate the output display under IP 127.0.0.1. In addition, the kitchen monitor should be started immediately as soon as the app is loaded. To do this, enter the following command in the line:

3055,3076,offset4h,enabledisplayqueue127.0.0.1&loadModule=sales/monitor

Once configured, this device now always starts with the settings in the kitchen monitor.

Queue monitor Queue monitor Output display Kitchen monitor Output display Output screen Output screen Output display Output display Output display

Utilization

Once you have received an overview and have made all the settings and specified the printers to be monitored, you can use the kitchen monitor in operation.

How to use

How do I use the Kitchen Monitor in general?

You can sort the view of processes on the Kitchen Monitor by Production, Delivery and Combined. It is also possible to display a chronological sorting via the summary for a better overview.

Marking processes

You can mark processes and receipts and thus prioritize them within the kitchen monitor. Move processes to the front by pinning them and processing them immediately, or move processes to the back by pausing them in order to process them at a later time.

Undoing actions

It is generally possible to undo up to five actions in connection with the use of the kitchen monitor.

Sorting hierarchy

A look behind the scenes: According to which criteria are the individual recipes or items actually sorted?

Display of notes for delivery orders

If notes are entered for delivery orders, e.g. via Deliverect, these are displayed on the production receipt and also in the kitchen monitor - in each case linked to the corresponding recipe.

Summary

How do I use the summary?

The summary on the right-hand side provides a complete overview of the number of dishes to be produced. All dishes are summarized here, regardless of the order received or the table number. This gives you an overview of the general number of dishes to be produced.

Voice output (BETA)

How do I use the voice output?

As soon as the voice output is activated in the settings, it is integrated into the kitchen monitor. No further settings or changes are necessary. The functionality is intuitively integrated into the interface. Every process or order can now be read aloud and, if the alarm is activated, the notifications are also read aloud.

Notify waiter (waiter call) & Smartwatch

How can the kitchen notify service staff?

Inform the service staff immediately via push notification about status changes to processes/receipts or individual items in the kitchen monitor or inform the service staff responsible that there are questions in the kitchen about an order. Improve and increase transparency in communication between kitchen and service digitally and without detours - no matter where the service staff are, they will be notified immediately about items to be delivered. If smartwatches are in use, the information is also sent discreetly to the wrist.

Recipe stocks

How do I change recipe stocks?

In the kitchen monitor, you have the option of adjusting the recipe stocks. When recipes with recipe stocks are posted, the number is automatically reduced. However, if you want to make an adjustment or enter a new stock for a dish, you can do this directly in the kitchen monitor.

It is also possible to block individual recipes so that they can no longer be booked via the cash register or the widget. You can choose between a daily block or a longer period.

Recipe information (detailed view)

How can I display recipe information in the kitchen monitor?

As with the checkout, you can also look at the detailed view of a recipe in the kitchen monitor to get an overview of all the important information, such as allergens, additives or the origin of the raw materials.

Production receipt

How do I get a production receipt after production?

In addition to the digital display of the production receipt on the kitchen monitor, you can trigger a printout on a real printer if you mark a recipe as "produced". To do this, check the box in the cost centers on the right next to the receipt printers, next to the printer with the identical IP address to the kitchen monitor, next to the setting Only produced.
